Document Scanning Coordinator provides an onsite training

Existing files are compared against our “signature product checklist” to evaluate missing or incomplete information

All documents are prepared for scanning

Documents are boxed and transported (where applicable)

Select marking indicia to be placed on completed documents

Scanning Director meets with internal team to determine an OCR program that will create “smart documents.” If property currently contains rent stabilized apartments (or did in the past,) building owner signs authorization form to retrieve rent histories from the Department of Housing and Community Renewal (DHCR)

Commence scanning of documents (all documents including commercial leases, individual apartment applications, background checks, legal documents and any other real estate related documents)

Check off scanned documents against checklist and make list of missing documents

Optical Character Recognition (OCR) 

Optical character recognition (OCR) is the process that converts an image of text into a machine-readable text format. A scanner reads documents and converts then to binary data. After analysis, the system converts the extracted text data into a computerized file.  Some OCR systems can create annotated PDF files that include both the before and after versions of the scanned document. Once completed, this allows for integration into existing databases with fully searchable text. You can learn more here:
